Responsibilities:
1. Chaplaincy and Family Advocacy:
- Provide compassionate support to individuals and families facing challenging situations.
- Chaplaincy for clients attending family court sessions, family court staff and chaplaincy for NewDay staff.
- Foster an environment of empathy and understanding to address emotional and spiritual needs.
2. Relationship Building
- Meet with and develop relationships with clients in the court system as needed or as court ordered or referred.
- Provide counseling, encouragement and Biblical wisdom as they allow you to do so.
- Direct clients to other services that may help their situation.
- Relationship building with judges and court staff is vital.
- Provide judges with up-to-date information for possible court ordered services like NewDay’s FOCUS+ for Fathers or Mothers programs. Also, our Anger Resolution and Co-Parenting classes.
3. Communication and Feedback:
- Maintain open communication channels with Court officials who refer clients, providing ongoing feedback on client engagement status.
- Collaborate with legal authorities to ensure alignment of services with the needs of referred individuals.
4. Program Oversight:
- Facilitate and/or oversee Anger Resolution and Co-parenting programs to promote healthy family dynamics.
- Monitor program effectiveness and make adjustments as needed to meet the evolving needs of clients.
5. Collaboration and Training:
- Collaborate with other departments and organizations to enhance support services for clients.
- Provide training and guidance to staff members and volunteers involved in chaplaincy and family advocacy.
6. Reporting and Analysis:
- Generate regular reports on program outcomes, client progress, and any challenges faced.
- Analyze data to identify trends and areas for improvement, presenting findings to leadership.
- Document and update the Apricot system with detailed engagement notes promptly, ensuring accurate and up-to-date information.
- Record all interactions, including calls, emails, and texts with clients or legal authorities within the same workday.
Qualifications:
- Degree in counseling/mediation, or a seminary degree, or a chaplaincy certification, or a related field.
- Strong spiritual foundation and experience guiding others to the truth.
- Strong interpersonal and communication skills.
- Compassionate and empathetic approach to supporting individuals and families in distress.
- Ability to collaborate with legal authorities and provide constructive feedback.
- Experience in managing and documenting client interactions in a database system.

COO Job Description
Position Title: Chief Operations Officer (COO)

The COO functions in concert with the Management Team toward the successful alignment of mission, planning, policy, procedure, and workflow among all departments—all while seeking to maintain the integrity of the business fundamentals for NewDay Services.
Primary Responsibilities:
- As member of the Executive Management Team, reinforces the vision, mission, values and pursues healthy working atmosphere for staff, volunteers, and clients.
- Together with the Executive VP/Managers, works to ensure program departments’ activities operate in sync with each other and with administrative processes, i.e., finance, technology, and human resources.
- Maintain/improve staff development and “coaching” culture within NewDay Services.
- Oversees the institution / improvement of processes to initiate and track human resources functions in recruiting, onboarding, training, employee and volunteer growth, performance evaluation and off-boarding.
- In coordination with the Executive Management Team, creates, maintains, implements, and seeks to improve policies and procedures relating to: Staffing/HR; Risk management; Facilities management; Technology; Administrative Staff; Etc.
- Works with the President & CEO, CFO and insurance agency representative to understand, assess and propose necessary insurance coverage types and limits; manages insurance policies and issues.
- Together with the Executive VP, VP of Development and relevant staff, reviews all program contracts to consider organizational workflow in the project implementation and reporting planning.
- Along with the President & CEO, negotiates, executes all contracts regarding IT, facilities, equipment, and personnel (syncs with personnel files) and maintains records of all.
- Works with program staff to ensure all necessary volunteer and contractor policies and paperwork are carried out; tracks, stores, updates and accounts for proper paperwork.
- Coordinates the formation of annual operations plan including capacity, infrastructure and facility needs.
- Maintains updated Operations plan.
- Oversees and continually analyzes the current technology infrastructure, seeks out the next level of information technology systems that support the growth of the organization and specific programs, and ensures systematic implementation which includes adequate training to end users.
- Directly oversees Intake staff.
- Handles disciplinary issues and compliance with Employee Handbook.
- Submits and tracks DFPS required background checks.
- Procures new equipment as needed for cell phones, laptops, tablets etc. Confirms with IT service provider that new equipment is properly set up.
- Reviews and oversight for timely submission of monthly contract billings for DFPS, OC-OK and Region 2. Coordinates this activity with Finance dept.
- Oversight of Apricot database. Coordinates with programming support staff recording system changes or modifications needed.
- Confirms MS Forms data is properly loaded into Apricot.
- Forwards to Finance dept, vendor invoices needed to be processed, time sheets, expense reimbursement requests, etc.
- Opens mail and logs in any receipts. Forwards these to appropriate communications staff so they can be deposited.
Qualifications:
- At least 3 years of experience in Administrative and/or Program Management.
- Able to work alongside other members of an Executive Management Team peer group to obtain organizational and programmatic objectives.
- Experienced in the development of administrative policies and procedures.
- Demonstrates knowledge of organizational risk factors and mitigation of those risks, as well as OSHA and FMLA regulations.
- Working understanding of corporate insurance policies.
- Able to manage facilities including scheduling maintenance, working with property management, foreseeing and planning for problems and responding to problems.
- Exceptional verbal and written communication skills.
- I.T. infrastructure knowledge and ability to oversee routine maintenance, updates, repairs and upgrades.
- Strong work ethic; strong commitment to confidential matters.
- Experience with non-profits strongly preferred.
- Enjoy working around and with people; be a positive force in the office environment.
